Co-Sponsor an Event with CLAS
Co-Sponsored Activities and Requests
Over the years, the Center for Latin American Studies (CLAS) has co-sponsored conferences, performances, and events organized by various departments and institutions, both on and off campus.
CLAS is pleased to consider requests for nominal or financial co-sponsorship of events with a Latin American focus from Stanford faculty, graduate students, undergraduate student organizations, and departments.
Co-Sponsorship Guidelines:
- The CLAS co-sponsorship period runs from October 1 to April 30. CLAS does not co-sponsor events between May 1 and September 30.
- Requests must include a PTA (account) where potential funding may be transferred for the event.
- A written proposal, including a budget (if applicable), must be submitted via the application form. A separate proposal is required for each event or activity. Each proposal should include:
- Type of event
- Title of the event
- Proposed date and time
- Description of the event
- Budget and amount requested (if applicable)
- CV or mini-bio of speaker(s)
- Letter of recommendation from a Stanford faculty sponsor (not required for faculty proposals)
Application Deadlines:
- Financial co-sponsorship requests must be submitted at least four weeks in advance.
- Nominal co-sponsorship requests must be submitted at least two weeks in advance.
Funding Requirements:
- CLAS funding recipients must include the Center’s name or logo as a co-sponsor on all promotional materials, including flyers, event listings, and electronic publicity distributed in advance of the event.
Use of Bolívar House:
- The use of Bolívar House is limited. If you require space for your event or wish to request use of the conference room, please include this in your proposal.
Publicity for Events:
- CLAS email updates are distributed each Monday during the academic year. To have your event included, submit information to the CLAS Events and Communications Officer (clasevents [at] stanford.edu) at least two weeks prior to the event date.
Requestor Responsibilities:
Event sponsors are responsible for the following:
- Creating publicity materials, including flyer submission to the Stanford Events Calendar (with CLAS mentioned as a co-sponsor).
- Tracking RSVPs, if applicable.
- Setting up and cleaning up the Bolívar House Seminar Room, if the event is hosted at CLAS.
- Submitting a brief post-event report, including photos, for CLAS publicity and reporting purposes, within 30 days after the event (or by May 30, at the latest).
CLAS policies may be waived only under special circumstances and only at the discretion of the CLAS Director or Associate Director.
The Center for Latin American Studies fosters diverse viewpoints to ensure open academic dialogue. However, it is within the discretion of the Director to ensure that the Center's activities are in keeping with the founding grant of the University, that mandates the promotion of "public welfare by exercising an influence in behalf of humanity" teaching "the great principles of government as derived from the inalienable rights of man to life, liberty, and the pursuit of happiness." The university code of conduct clearly states the imperative of "treating each community member fairly and with respect", preventing any form of harassment. CLAS will not endorse activities involving any form of bigotry or discrimination.
